Deadlines and submission guidelines for flu vaccine compliance

Flu season is coming. Protect yourself, your coworkers, family and community by getting your annual flu vaccination.  

The compliance deadline for UCSF employees, physicians and learners, including UCSF Fresno and BCH Oakland, is Nov. 1, 2025

Getting your vaccine

UCSF faculty, staff, learners and volunteers can get vaccinated through UCSF Occupational Health Services' outreach clinics beginning Aug. 29. The flu vaccination outreach clinic schedule includes up-to-date information about where and when to get a flu shot. 

A roving team of nurses will be coming to each main campus (Parnassus, Mission Bay and Mt. Zion) on rotation to administer flu shots and help staff who want to learn more about the flu vaccine or submit a flu declination. 

In addition, some departments have a nurse flu ambassador who can administer flu shots at work locations on request. Check to see if your department has an ambassador or sign up to become a flu ambassador.

Occupational Health Services locations will offer walk-in flu shots during normal business hours, starting Oct. 1.

By early September flu shots will also be available through:   

  • Your primary care provider. Learn more about the options in your medical plan. 
  • UCSF Outpatient Pharmacies
    • Walk-ins are available at any UCSF Outpatient Pharmacy; however, scheduling through UCSF MyChart is preferable. You can schedule an appointment at either the UCSF Pharmacy at Parnassus or Mission Bay by logging into MyChart.   
  • Local pharmacy covered by your primary care insurance (Walgreens, CVS, Costco, Safeway, etc.)  

Updating your flu record 

If you received your flu vaccine from an outside provider (such as a local pharmacy or non-UCSF primary care provider), you will need to complete one of the following options to align with University of California policy:

The flu record should have your name and date of birth. If it only includes one identifier, write your UCSF Employee ID (EID) on the record.

Submitting a declination

Those who chose to decline the flu vaccine still need to submit an official declination. This can be done via the OHS portal or the Digital Screener. More information on how to submit a declination will be available soon.

The U.S. Centers for Disease Control and Prevention urges everyone 6 months and older to get a yearly flu vaccine as a safe and effective way to prevent mild to severe illness that can lead to hospitalization and sometimes death.
