Oracle HCM Updates: Onboarding, Reporting and AI Assistance
The latest enhancements make common HR tasks easier, improve data accuracy and streamline hiring and onboarding across UCSF
UCSF continues to improve the Oracle Human Capital Management (HCM) experience with a new set of enhancements designed to simplify common HR activities, improve data accuracy, reduce manual work and streamline hiring and position management.
The latest updates reflect feedback received since Oracle HCM launched and are part of an ongoing effort to make the system easier and more efficient for managers, departments and HR teams across UCSF.
Hiring and Department Managers
Managers can submit Star Award requests directly
Campus and UCSF Health managers can now submit Star Award (XSL) requests directly for their employees.
Previously, these requests required an additional department intermediary. Allowing managers to submit requests for their direct reports removes an extra step from the process, helping make Star Award requests faster and easier to complete.
HR and Operations Managers
Earlier academic affiliations for MSP Physicians
UCSF Health employees with academic appointments will now have the appropriate academic pre-boarding affiliation created earlier in the hiring process.
For MSP Physicians, the affiliation is now automatically assigned when their record is created rather than within two weeks of their start date. This gives incoming physicians more time to work on their ADVANCE packets and helps ensure their academic contributions are appropriately recognized from the beginning.
Improved employee identity data
An enhancement to the Scuba identity interface will help improve the accuracy of employee data in Oracle HCM.
The system now removes extra spaces from employee identifiers that could otherwise lead to data errors. The change helps keep employee records accurate while reducing the need for manual corrections.
Smoother onboarding for returning employees
Employees returning to UCSF will have a more seamless experience during the rehire and onboarding process.
Oracle HCM will now automatically manage username changes before and after an employee's start date. This helps ensure returning employees receive onboarding emails on time, maintain continuous system access and can complete required onboarding activities without unnecessary login delays.
Faster processing of final pay
New search and filter options have been added to the separation report used by Payroll.
The additional filters make it easier for Payroll staff to locate and process employee records, reducing manual effort and helping support timely final pay for departing employees.
New report supports employee referral bonuses
A new Employee Referral Bonus Report gives HR teams a faster way to identify employees who are eligible for referral bonuses.
By making the necessary information easier to find and process, the report reduces administrative work and supports more timely one-time bonus payments to eligible employees.
Recruiting and Talent Acquisition Managers
Clearer terminology for candidate selection
Candidate selection processes in Oracle HCM have been renamed to provide clearer, more intuitive terminology for recruiting and talent acquisition teams.
The updated naming is intended to make it easier for hiring teams to understand and navigate the candidate selection process.
Analytics and Security Managers
More secure academic pre-boarding reporting
Academic staff who use pre-boarding journey reports will now see information based on their specific area of responsibility.
The secured view limits access to relevant new-hire information, helping protect sensitive data while making it easier for staff to focus on onboarding activity within their departments.
Pilot Program Users
The following enhancements are currently available only to pilot program users.
AI assistance for creating job requisitions
Campus and UCSF Health pilot users can now use an AI assistant when creating job requisitions.
The assistant can answer questions and guide users through the appropriate steps in real time, helping simplify requisition creation, reduce errors and save time.
AI assistance for finding position information
A second AI assistant helps Campus and UCSF Health pilot users quickly find employee position information, including position codes needed when requesting a new position.
The assistant reduces the need for manual searches and helps users complete position requests more efficiently.
Continuous improvement shaped by UCSF feedback
These enhancements are part of UCSF's ongoing effort to improve Oracle HCM based on the experiences and feedback of the people who use it.

No action is required. The enhancements are available automatically as part of the scheduled Oracle HCM release.
