How to Access Meal Waiver Records
System used depends on an employee's hire date
As UCSF continues its transition from HR Umbrella to Oracle, the location of employee meal waiver documentation depends on when an employee was hired.
Employees hired before April 1, 2026
For employees hired before April 1, 2026, meal waiver information remains available in HR Umbrella.
Managers can verify an employee’s meal waiver status by opening their roster in HR Umbrella and selecting Meal Waiver from the View Options menu.
Meal waiver status is displayed for non-exempt and per diem employees using color-coded indicators:
- White Meal Waiver indicator: The employee has signed a meal waiver.
- Yellow Meal Waiver indicator: The employee has not signed a meal waiver.
Employees hired on or after April 1, 2026
For employees hired on or after April 1, 2026, meal waivers are completed during the onboarding process in Oracle.
Completed meal waiver forms are stored in the employee’s Document Records and can be viewed by the employee’s direct reporting manager.
Updating an existing meal waiver selection
Employees and managers who need to update an existing meal waiver selection should submit a Help Desk case in Oracle. Use this process regardless of where an employee’s meal waiver documentation lives.
To request an update:
- Create a case and select Other – General Inquiry.
- Include a brief description of the requested change.
After the request is submitted, HR will send a DocuSign form to the employee and copy the manager on the request. Once the form is completed, HR will upload the signed meal waiver to the employee’s Document Records in Oracle.
The updated meal waiver document will be available for review in the employee’s Document Records after processing is complete.
