What’s New in Oracle HCM: Recruiting, HR and Reporting Improvements
The latest Oracle HCM updates improve recruiting and offer processes, streamline HR transactions, and strengthen Help Desk and survey reporting.
UCSF continues to refine Oracle HCM with enhancements that make processes clearer, more consistent and easier to manage. This latest set of updates includes improvements for hiring managers, recruiting teams, HR teams, department initiators and reporting users.
This update also includes two important follow-ups to previously communicated changes: the retraction of a recently released manager self-service enhancement for STAR Award transactions and the resolution of an issue affecting Reports To changes. Both are called out separately below.
Managers and Department Initiators
- More complete Gallup survey population: The Gallup integration now includes staff appointments, including limited, per diem, and contract appointments. Staff employees who were previously missing from the survey population are now included. (OHCM-330)
- RETRACTION: Manager self-service for STAR Award transactions: The recently released enhancement that allowed managers to submit STAR Award (XSL) transactions for their direct reports has been retracted. Managers can no longer submit these transactions directly for their staff; Department Initiators will continue to submit them through the current STAR process. This does not affect other manager self-service transactions. (OHCM-163)
- ISSUE RESOLVED: Reports To changes: The issue affecting Reports To changes has been resolved. Reports To changes can now be submitted through the standard Promote and Change Position process in Oracle HCM. The temporary Help Desk workaround is no longer needed and should discontinue.
Hiring Managers and Recruiting Teams
- Clearer offer letters for per diem roles: Per diem offer letters no longer include end-date language. Because per diem appointments have no fixed end date, the previous wording could misstate the terms of the offer. Recruiters no longer need to remove the sentence manually. (OHCM-118)
- Streamlined offer letter approval: Offer letter drafts are no longer routed to hiring managers for approval in Oracle HCM. Recruiters confirm approval outside the system and can send the offer directly to the candidate, reducing delays for hiring managers and recruiting teams. Recruiters can still save and download a draft before submitting it. (OHCM-146)
- Cleaner offer letters for limited roles: Offer letters for limited roles no longer display instructional text in red font. Candidates now receive a clean, consistent letter without manual cleanup before it is sent. (OHCM-164)
- More accurate candidate communications: Candidate statuses now map to the appropriate decline or notification email — or no email when appropriate. Automated decline notifications are back on, and candidates who applied to both a mother and child requisition no longer receive a decline email after accepting an offer. (OHCM-179)
- Consistent Equal Opportunity language formatting: Equal Opportunity language in the Employer Description section now matches the standard job posting format and no longer appears in italics. (OHCM-229)
- 10.5-hour shift& option added to requisitions: The Shift Length field now includes a 10.5-hour option, eliminating the need to select a nearby value and explain the actual shift length in free text for positions requiring 10.5-hour shifts. (OHCM-321)
- Disability self-identification removed from job applications: Candidates are no longer asked to self-identify a disability on the job application, following UCOP direction after the Section 503 and VEVRAA requirements were rescinded. (OHCM-322)
- Recruiter field defaults correctly again: The Recruiter field now populates correctly when a requisition is created following the Oracle 26C update. Recruiters no longer need to enter the field manually. (OHCM-325)
HR Teams and Department Initiators
- Additional premium pay options for sworn police titles: Three pay codes have been added to the Individual Compensation / Administer Compensation transaction in Oracle - Specialty Pay (SPC), Bilingual Pay (SPL), and Certification Pay (CRT). Theses pay codes will be visible and selectable for eligible UCSF Police Department title codes. Department initiators can now submit each component for an eligible employee in Oracle, so the payments can be recorded in Oracle and UCPath correctly and pay can be accurately set up and issued. - Fewer transaction delays: Action reason codes that required corrections and delayed transactions loading to UCPath have been removed. (OHCM-320)
Help Desk Queue Owners
- More information in the Help Desk tracker: The Helpdesk Transaction extract that feeds Smartsheet now includes a Description column, allowing queue owners to review service request descriptions without opening each ticket. (OHCM-329)
