New Position Request Form Updated in Oracle HCM

Experience a simpler, faster process when submitting a new position request

Users submitting new position requests in Oracle HCM will now see an updated request form designed to simplify the submission process, reduce manual data entry, and improve data quality.

The enhancements streamline how new positions are requested by reducing unnecessary fields, automatically populating common values, and adding validation that helps catch errors before submission. Together, these changes are expected to reduce returned requests, shorten approval timelines, and minimize downstream delays.

What's New

Less Manual Data Entry

Several fields now automatically populate with commonly used values, helping users complete requests more quickly:

  • Position Start Date defaults to the current date.
  • Head Count defaults to 1 and is read-only.
  • Budget Position Budget Amount defaults to 0.

Built-In Validation

New validation rules and required fields help identify common issues before a request is submitted:

  • FTE must be entered as a value between 0.0 and 1.0.
  • Oracle Position Code cannot begin with 4, 5, or 6.
  • Reason for Request now automatically populates as New.
  • Additional required fields have been added to reduce downstream corrections. A complete list of required fields is available in the Process Design Document (PDD).

Improved Guidance

The updated form includes clearer instructions and simplified field options to help users complete requests accurately:

  • New SmartTip guidance has been added for the Assignment Category field to help distinguish between academic and staff positions.
  • The HR Worksite list has been simplified and updated for Campus and Health locations.

A Simpler Form

Several fields that were no longer needed or frequently caused confusion have been removed or updated:

  • The Step field has been removed.
  • The Maildrop field is now hidden.
  • Work Study Position fields have been reviewed and updated for accuracy.

Why It Matters

The updated New Position Request form is designed to make creating new positions more efficient by reducing the amount of information users need to enter, improving the accuracy of submitted data, and preventing common errors before they reach the approval process. These enhancements support faster processing and help reduce delays throughout the hiring workflow.

The updated form is now live and available to all Oracle HCM users submitting new position requests. No additional action is required.
