HR Shared Services Introduces New Service Partnership Agreements
The first phase includes SPAs for separations and general inquiry cases.
HR’s Shared Services team is implementing Service Partnership Agreements for its core HR processes. A service partnership agreement (SPA) is an agreement that confirms expectations and clarifies responsibilities and timelines between HR and our customers. The first phase rolled out at the end of November and included SPAs for separations and general inquiry cases.
The separation SPA ensures timely final pay for separating teammates, decreases risk of access to UCSF systems after separation and decreases risk of overpayment to UCSF teammates.
- 95% of separation cases will be submitted to UCPath more than 8 days before the employee’s separation date.
- ACTION: Departments should submit separation cases to HR no later than 10 business days prior to the teammate’s last day worked. Departments will now see an additional question in the separation case asking to indicate if the final timesheet was completed. HR cannot process separation cases without the final timesheet being completed.
The general inquiry SPA (i.e., a question submitted via PeopleConnect's Ask a Question form) sets an expectation with UCSF teammates on resolution time for a general inquiry case.
- 95% of inquiries for HR Operations Shared Services will be resolved in less than 7 days.
- ACTION: Employees should include all relevant information in their inquiry request and respond to requests for additional information.
The next phase of the SPA rollout, which includes onboarding and new hire processing to UCPath, is estimated to begin in May 2024.
