The annual staff renewal process will begin in late March. To ensure a smooth process, we are providing a high-level timeline, allowing departments to plan ahead.

For the staff population, we anticipate that UCPath will minimize the need for this process; therefore, please make a note for future fiscal years.

March - April - Preliminary Review:

  • Similar to last year, we encourage departments to perform a preliminary staff review of appointments/distributions. Please partner closely with your HR Generalist, and review your monthly department report to understand distributions and appointments ending prior to or on June 30, 2019.  The “Appt Dist Near End Report” tab will provide the information you need. All funding changes submitted through PeopleConnect Management Actions (PCMA) by March 28, 2019, will be captured in the Round 1 review. As a reminder, Department Reports are distributed on the sixth of every month.

April - Round 1 Review:

  • Week of April 15: Round 1 renewal spreadsheets will be sent to departments 
    • These spreadsheets will capture all remaining employees whose distributions and appointments end prior to or on June 30, 2019
    • During this time, departments will be required to utilize the spreadsheets, instead of submitting PeopleConnect requests for the population
    • Staff Shared Services will partner closely with departments to complete the first round of reviews
  • April 29: Round 1 spreadsheets are due back to HR

May - June 9 - Round 2 Review:

  •  Week of May 20: Round 2 renewal spreadsheets will be sent to departments
    • This is a second sweep to ensure all employees whose distributions and appointments ending prior to or on June 30, 2019, are captured for renewal
    • Staff Shared Services will partner closely with departments to complete the second round of reviews
  • May 31: Round 2 spreadsheets are due back to HR

June 2019:

  • Staff Shared Services will conduct a final sweep to ensure all employees have been extended beyond June 30, 2019, we will partner with departments as needed to finalize the remaining employees

Note: MSP Physicians, Dentists, and Pharmacists will be conducted through another process. Departments with this population will receive a separate announcement in early April.
