The annual staff renewal process will begin in March. To ensure a smooth renewal process and provide departments the ability to plan, we are providing a tentative timeline. Please note that we have updated this process to reflect the feedback provided by the campus over the past several years.

March - Preliminary review:

  • Week of March 5: Departments receive a preliminary reports of employees whose distributions and/or appointments are ending prior or on 6/30/18
  • March 23: Deadline for departments to submit SRS or PeopleConnect tickets to extend appointments and distributions beyond 6/30/18
    • This preliminary review period allows departments to review and update a good portion of their population before the renewal spreadsheets are distributed in April
    • We cannot guarantee that any requests submitted after this deadline will be reflected in the April renewal spreadsheets

April 2018 - Round 1 review:

  • Week of April 5: Round 1 renewal spreadsheets will be sent out to departments 
    • These spreadsheets will capture all remaining employees whose distributions and appointments end prior to or on 6/30/18
    • Departments will be asked to utilize the spreadsheets versus submitting SRS or PeopleConnect tickets for this population at this point
    • Staff Shared Services will partner closely with departments for completion of this first round of reviews

May - June 2018 - Round 2 review:

  •  Week of May 21: Round 2 renewal spreadsheets will be sent out to departments
    • This is a second sweep to ensure all employees whose distributions and appointments ending prior to or on 6/30/18 are captured for renewal
    • Staff Shared Services will partner closely with departments for completion of this second round of reviews

June 2018:

  • Staff Shared Services will conduct a final sweep to ensure that all employees have been extended beyond 6/30/18, and partner with departments to finalize remaining employees

We hope that the addition of the March activities will help streamline the April – June activities. In the event that your unit would like to proactively start requests for submission extensions now, you can utilize your department monthly reports, which are distributed on the 6th of each month. The “Appt Dist Near End Report” tab will give you the information you need.

Note: MSP Physicians, Dentists and Pharmacists, will be handled through another process. Departments with this population will receive a separate announcement in mid-April.
