Beginning in November postdoctoral scholars will be able to utilize Huntington Business Systems (HBS) to report and track personal time off (PTO), sick leaves, and other leaves.

UCSF converted the majority of its employee population to HBS several years ago; however, postdoctoral scholars were not included in the initial transition due to the unique nature of how their PTO and sick leave allocations are provided.

The inclusion of UCSF’s approximately 1,000 postdoctoral scholars in HBS will provide departments with an electronic and standardized method for postdoctoral scholars to record their PTO and leave usage. Postdocs will be able to submit leave requests via HBS and review their available balances. Supervisors will be able to accurately and efficiently review and approve PTO requests and ensure appropriate recording of leave usage.

HR Postdoc Shared Services will be reaching out to departments with postdoc populations by Oct. 9 to obtain postdoctoral scholars’ PTO and sick leave balances as well as to verify the proper assignment of timesheet approvers. Instructions will be provided.

Separate training sessions for departments and postdoctoral scholars on HBS use and leave guidelines will be scheduled for the weeks of Oct. 23 and Oct. 30 with an additional web training session the week of Nov. 6. Please stay tuned for additional details.
