Dear Colleagues,

I am writing to share the latest news from UCSF Human Resources. Please read on for brief updates on Career Tracks, HR’s Lean projects, website enhancements, HR’s annual customer survey, the 2017 staff engagement survey, and new HR outreach activities. 

Career Tracks: The campus is still on schedule for implementation in November 2016. HR Staff Shared Services continues to work with managers and supervisors to ensure there is an accurate understanding of the work that all employees perform, allowing for a smooth transition into the new Career Tracks titles. I want to highlight some important upcoming dates to facilitate a smooth implementation: 

  • August 1: Release of refreshed Campus Career Tracks webpage (MyAccess login required – see more info here).
  • August 29: Transition period begins (more information here
  • October 3 - 31: Notification Letters delivered to impacted policy-covered (PSS & MSP) employees by managers and supervisors 

Additional events will be planned to give employees an opportunity to learn more about Career Tracks and the bright future it provides for UCSF staff. Stay tuned to the Career Tracks website and look for email announcing these events. 

Lean activities: We continue to use the Lean methodology to drive critical process improvements in Human Resources. I am happy to report significant improvements in staff recruitment as a result of these efforts:

  • Time-to-fill: reached the target of 70% of jobs posted being filled at 90 days (down from an average of 135 days)
  • Customer satisfaction: over 90% satisfaction in post-recruitment customer service survey

In the coming year, we will expand on the successful use of Lean to focus on visas, leaves/leave administration, and performance evaluation.

HR Website: Last month we relaunched the HR website to make it a more user-friendly tool for finding critical policy and process information. The enhanced site implements user feedback about usability, enhanced search, and UCSF brand alignment. The landing page is more welcoming, and the new How Do I? section highlights commonly-accessed information and tools. We have also added significant new content about academic processes to the HR Knowledge Bank. If you haven’t already done so, I hope you will take a few minutes to explore the enhanced site.

HR Customer Survey: We are excited to be participating in a FAS-sponsored pilot to revamp our annual customer survey to gain a better understanding of the drivers of customer satisfaction. The redesigned survey will launch in Fall 2016 and will be conducted quarterly, allowing HR to track trends more accurately and respond more quickly. A representative subset of the UCSF community will be surveyed each quarter, but no one will receive the survey more than once a year.

Staff Engagement Survey: The next Staff Engagement Survey will begin on February 27, 2017. In the meantime, let us all continue to make progress on our action plans. Learning and Organization Development offers extensive resources to support your efforts.

Outreach: In the fall, we will launch two outreach activities to strengthen partnerships with our customers:

  • Quarterly managers/supervisors webinars focused on policy and program updates and changes.
  • Bimonthly meetings with department liaisons focused on processes and best practices for HR transactions.
