HR Shared Services is ready to implement the range adjustments (effective 7/1/15) for academic employees. Our goal is to have all academics paid at the correct salary rate for the Oct. 30, 2015 pay date and retroactive salary (if applicable) paid on the Nov. 4, 2015 pay date.

Salary rates for eligible academics will be automatically updated using a batch process except for above/off scale and ineligible faculty. The batch process will update the salary rate to match the new salary scale.

Health Sciences Compensation Faculty (HSCP)
HR Shared Services will be contacting departments to find out how the 1.5 percent will be implemented.

Options for the "Y" component once the salary scale ("X") is adjusted are:

  • "Reduce Y" will offset increase to base salary ("X") and keep FY16 total comp unchanged. If salary is at scale (i.e., no Y component) or the faculty member has an insufficient Y to cover the increase to salary scale), the salary will be increased to the new scale rate. Adjustments to retirement and benefits calculation for faculty without an increase to pay will happen throughout November/December 2015.
  • "Keep Y the same" will increase the faculty member’s FY16 total comp. We need to have this information no later than Sept. 25 in order for the retro, if any, to be paid out on Nov. 4, 2015.

MPM will have a blackout period from Sept. 27–Oct. 9 for HR Shared Services to batch process and upload the range adjustments for all in-scope HSCP eligible faculty.

Departments will need to complete and submit the faculty salary calculator (FSC) worksheet, via SRS ticket, for all out of scope and ineligible faculty. These are due to HR Shared Services on Oct. 12, 2015, in order to make the Oct. 30 pay date and the Nov. 4, 2015, retro, if any.

FY-faculty, Non-faculty academics (NFA), and Academic Student Employees (ASE)
OLPPS will have a blackout period from Oct. 12–16 for Payroll to run a series of batch processes for FY-faculty, NFAs, and ASEs. This means no EDB entry/updates should be conducted during this time for these populations.

Some important notes/reminders:
Faculty and academics that have subsequently separated from UCSF after July 1, 2015, may still be eligible for retroactive salary owed. Additional details on processing these payments will be provided by HR Shared Services and the Payroll office.

If you are aware of an HSCP faculty member who is planning to retire or separate before December, please contact HR Shared Services so they can give priority to processing these adjustments.

Please refer to the September Controller’s newsletter for information on Sponsored Awards with Budget Periods Closing between July 1 and the Retroactive Salary Adjustments.

As noted in the email from Brian Alldredge on Aug. 10, faculty may also be considered for an additional discretionary salary adjustment based on established criteria set forth by the University. The Chancellor will appoint a faculty workgroup who will be charged with developing the terms of the program. Further details about this program will be available to the campus shortly. Until then, only the 1.5 percent salary scale adjustment will be processed as outlined above.
